INFORMATION FOR RESIDENTS WHO WILL NOT BE RETURNING TO THE RESIDENCE HALLS FOR WINTER 2008
Checking Out of Residence Hall Rooms
As students vacate the halls at the end of their contract or based on a contract termination, keys/keycards must be turned in to the front desk. Residents should ensure that the front desk has their correct forwarding address and telephone number.
Residents not returning to the residence halls next semester should have submitted a Projected Withdrawal Application online (last day to apply is the date the residence halls close).
Move-Out Schedule
Residents are expected to move out within 24 hours of their last final exam, following procedures for checkout if they are not returning for Winter Term. Please check with your residence hall front desk to ensure you are completing the necessary processes to officially check out of your room.

Loft
Removal
Residents moving-out of the residence halls at the end of Fall Term must
take down and remove any loft which was leased or personally or commercially
installed. Residents will be assessed a $100 removal charge for any loft
left standing in a room after checkout
If your loft was purchased at the Commercial Vendor Fair during Fall
Move-In, the vendor who installed your loft can be contacted to remove
it.
Rental
Refrigerators
It is the resident’s responsibility to return any refrigerator he
or she has rented from University Housing to the designated storage area
in the residence hall prior to moving out. Residents will receive instructions
for returning refrigerators prior to their Move-Out.
As stated in the rental agreement, the resident is responsible for any
refrigerator, parts or accessories that are damaged, missing, stolen or
not returned for whatever reason, and may be charged accordingly. The
resident is also responsible for cleaning and defrosting the refrigerator
and may be charged if it is returned in unsatisfactory condition.
Entrée
Plus Accounts
Students should contact the Entrée Office to have their
Entrée Plus account balance credited to their overall Student Account.
Bicycles
Residents must remove their bicycles from University property when moving
out. Abandoned bicycles will be collected by the Department of Public
Safety and eventually sold if not claimed within 30 days. University
Housing does not have storage available for bicycles. John's
Pack and Ship can be contacted to inquire about storage of bicycles.
Parking
and Traffic During Move-Out
All City of Ann Arbor parking regulations will be in force as residents
move out of the halls. Flatbed luggage carts will be available
for use at the front desk. It is important to keep track of all
belongings while moving out. We ask that students not leave vehicles unattended
by the halls and that someone stay with items left in rooms or hallways.
Room
Condition Inventory
All residents
must complete, sign and return a Room Condition Inventory (RCI) when moving
into a residence hall room, either at the beginning of a term or when
changing rooms within a term. The RCI documents any problems with the
condition of the room when it is initially occupied. If the RCI is not
completed and returned, University Housing will assume that there are
no problems with the room when the residents move in. Residents will be
held responsible for any damage found to their room when they move out
unless a) it was noted on the RCI, b) it is normal wear and tear or c)
it is a maintenance problem that arose during the year and was properly
reported. Rooms are inspected for health and safety conditions at the
end of each term or whenever the room is vacated. Residents have the right
to be present for this inspection and to schedule it before moving out.
Damage
Assessment
Repair, cleaning or replacement charges may
be billed to the Student Account of any resident who is found responsible
for causing damage to or loss of University Housing property. Such damage
may be for extraordinary cleanup required for the disposal of hazardous
materials, such as mercury from a mercury thermometer. If the damage loss,
or need from cleaning is discovered during the term of the contract, the
resident will have five days to appeal the assessment, according to the
Housing Student Conflict Resolution Process. If the damage or loss is
discovered after the resident has moved out, a statement will be sent
to the resident’s forwarding address; a resident who wishes to appeal
such an assessment must respond within 10 days of receipt of the statement.
A list
of residence
hall repair and replacement costs is available online.
Group Billing
The most impartial way to effect restitution
for damages that negatively affect the community is to bill only those
responsible. Therefore, residents are encouraged to accept responsibility
for their own and their guests’ behavior. However, there are instances
when damages occur in individual rooms or in the common areas of the floor
or building and attempts to identify the parties responsible for the damage
are not successful. Any residents aware of any person responsible for
specific damages should contact a resident staff member, the Associate
Hall Director, Hall Director or Housing Security. Every effort will be
made to determine who is responsible, but when that is not possible, the
replacement or repair costs will be divided among the room, floor, house
or hall residents at the time that an accurate cost determination is made
by building managers. Residents who were not on campus during the period
the damage occurred may be exempt from charges billed to a group; residents
in this category must inform the Hall Director in writing as soon as possible
after receipt of the notice of group billing. The Hall Director, in consultation
with the building’s Facilities staff, will make the final determination.
The Assistant Directors of Residence Education handle appeals of group
billing charges.
